A good booking system replaces the back-and-forth with one page that always shows the truth: what you run, when, where, for whom, how much it costs and how many places are left.
The must-have features
- Live availability — clients only see slots that still have space.
- Group and 1-to-1 sessions — capacities for classes, single spaces for PT or private lessons.
- Multiple locations — different gyms, parks, courts or pools on different days.
- Payment at booking — card payments taken up front so no-shows still pay.
- One shareable link — something you can drop in your Instagram bio or a group chat.
- Cancellation rules — so you decide what happens when someone pulls out late.
- Confirmation emails — for you and the client, automatically.
Watch the pricing model
Many booking tools charge a monthly subscription whether you take ten bookings or none. For a coach building a client base, that's a fixed cost before you've earned anything. Look at whether a platform charges monthly, per booking, or both, and do the maths on a quiet month as well as a busy one.
