Privacy Notice
Last updated 26 August 2026. This notice explains how we handle personal data at Sasoi Coaching.
Who we are
Sasoi Coaching ("we", "us") is a sole trader business based in the United Kingdom. We are the data controller for the personal data described in this notice. You can reach us at hello@sasoi-coaching.com.
Personal data we collect and why
- Coach account data (name, email address, login credentials, coaching business name and tagline) — to create and secure your account and provide the service. Legal basis: performance of a contract.
- Coaching setup data (locations, map coordinates, session types, capacity, age ranges, prices) — to build and publish your booking page. Legal basis: performance of a contract.
- Client booking data (name, email address, phone number where provided, session booked) — to record bookings and let coaches manage attendance. Legal basis: performance of a contract and the legitimate interests of the coach in running their sessions.
- Platform fee records (amounts owed and paid, transaction references) — to invoice and reconcile our 1% platform fee. Legal basis: performance of a contract and legal obligation (accounting).
- Technical data (IP address, device and browser information, error logs, usage telemetry) — for security, fraud prevention, troubleshooting and improving the product. Legal basis: legitimate interests.
- Support messages you send us — to answer your query. Legal basis: legitimate interests.
Where we ask for your browser location to centre the map, that is optional and processed in your browser based on your consent; you can decline without losing access to the service.
Who we share data with
- Our payment provider, for platform fee payment processing, card storage for optional automatic collection, tax calculation and invoicing. We never store your full card details.
- Service providers and subprocessors — hosting and database providers, mapping services (Google Maps Platform) and error-monitoring tooling, acting on our instructions.
- Coaches — when a client books a session, their booking details are shared with the coach running that session.
- Professional advisers (legal, accounting) and authorities where required by law.
We do not sell personal data.
International transfers
Some of our providers process data outside the UK and EEA. Where that happens we rely on UK adequacy regulations or on Standard Contractual Clauses with the UK International Data Transfer Addendum, together with appropriate technical safeguards.
Retention
Account and booking data is kept for as long as the coach account is active and for up to 12 months after closure, so records can be restored or disputes resolved. Records needed for tax and accounting are kept for six years. After those periods data is deleted or anonymised.
Your rights
Under UK GDPR you have the right to access your data, have it corrected or erased, restrict or object to processing, receive a portable copy, and withdraw consent at any time where processing is based on consent. Email us and we will respond within one month. You also have the right to complain to the UK Information Commissioner's Office (ico.org.uk).
Security
We use appropriate technical and organisational measures including encryption in transit, row-level access controls on our database, hashed credentials and least-privilege access for administrators.
Cookies
We use essential cookies and local storage to keep you signed in and to remember your onboarding progress. We do not use advertising cookies. Payment pages served by our payment provider may set their own cookies necessary to complete a transaction. You can clear or block cookies in your browser, though sign-in will stop working.
